How to choose a to-do or planner app
Last updated: 2026-10-10
There are too many to-do apps to compare by name, so compare them by criteria. This guide groups apps into a few generic categories and scores them on offline use, AI input, privacy, language support and price. It ends with who Pladay suits and who should pick something else.
Start with how you work
Some people capture a thought in one line the moment it appears, some build the day from time blocks, and some keep tasks inside project documents. Each style feels natural in a different kind of app. The best app is the one you open every day, not the one with the longest feature list.
Also decide whether you plan alone or with a team. Assignments, comments and permissions are much deeper in tools built for collaboration. This comparison focuses on personal use.
Four kinds of apps
- Cloud-only list apps: sign in, store on a server. Sync and sharing are usually smooth, but a weak connection can slow things down or lock features.
- Calendar-first planners: the calendar and time blocks are the centre. Great for appointment-heavy days, less comfortable for undated ideas.
- Note-based all-in-one workspaces: documents, databases and tasks together. Very flexible, but setup takes time and a quick one-line capture can feel heavy.
- Local-first planners: data lives on your device first and syncs when you sign in. Instant, works offline, and keeps more of your information on the device. Pladay belongs here.
Five criteria side by side
The table shows general tendencies per category. Products inside a category differ a lot, so check the current features and pricing of any app you consider. The Pladay column describes the current product.
| Criterion | Cloud-only list apps | Calendar-first planners | Note-based all-in-one | Pladay |
|---|---|---|---|---|
| Offline | Limited, sometimes paid | Often read-only | Varies widely | Everything works offline and merges conflict-free when you reconnect |
| AI input | Date parsing; AI often a paid add-on | Scheduling suggestions | Strong at summarising and drafting | Natural-language input in 12 languages, AI breakdown and briefing, free quota |
| Privacy | Server storage by default | Server storage by default | Server storage by default | Device-only until you sign in; sensitive records device-only by default |
| Language support | Translated UI, weaker input parsing in some languages | Usually good | Usually good | Parses Korean particles and Thai times; 12 languages |
| Price | Free tier plus subscription; some core features paid | Free tier plus subscription | Free tier plus paid team plans | Core features free; advanced AI free up to a quota, then Pro |
Offline: the subway test
Apps that wait for a server feel slow in tunnels and on roaming. In a local-first app every action happens on your device first, so there is no spinner, and changes merge automatically when you are back online.
AI input: convenient is not the same as correct
Natural-language input has two layers. Rule-based parsing reads dates, times, tags and priority from a sentence, and it must be instant and predictable. Generative AI breaks a vague goal into steps or writes a briefing, which is useful but can be wrong, so review it.
Pladay parses 12 languages on the device and lets you pick the AI engine: Pladay Cloud, on-device AI, a local model on your PC, or your own API key.
Privacy and price
To-do lists hold appointments, family plans and work details. Check whether the app works without an account, where data is stored, and how easy export and account deletion are. See the privacy-first planner guide for more.
For price, look at what the free plan includes: task limits, reminders, calendar sync, device sync. Pladay keeps unlimited tasks, lists, offline use and sync free, with a free quota for advanced AI. Founding members who sign up by November 11, 2026 get Pro free for life (AI is subject to fair use).
When Pladay fits, and when it does not
- Good fit: fast one-line capture, reliable offline use, accurate parsing of your language, control over what leaves your device, habits and a focus timer in one app.
- Consider something else: team assignment and permissions are the core need, you need deeply linked documents and databases, or you depend on another ecosystem's automations. Pladay is built for an individual's day, and sharing is mostly read-only links.
A 30-minute trial
- Pick two candidates and enter the same ten items in both.
- Compare time and taps, and whether dates and times are read automatically.
- Turn off the network, then add and complete a task.
- Find export and account deletion in settings.
- Use one for a week and keep the one you open without thinking.
FAQ
Is Pladay a team collaboration tool?
No. It is built for an individual's day and habits. Sharing uses read-only public links; if assignment and permissions are central, use a collaboration-first tool.
Can I move over from another app?
Largely. Pladay exports CSV, Markdown and ZIP, pastes several lines into tasks in one go and connects to some external services. Import paths differ by app, so test with a small batch first.
Is it really free?
The core app (unlimited tasks and lists, offline use, sync) is free. Advanced AI has a free quota; more needs a Pro subscription.
