A planner setup for nurses on shifts
Last updated:
Shift work breaks every planner built for nine-to-five. When your Monday might be a night shift and your weekend a Tuesday, the plan has to start from the rota — and from rest.

What makes shift life hard to plan
Rotas change every few weeks, nights shift your body clock, and the time you are free is often when everyone else is at work. Life admin — banks, appointments, repairs — has to fit into odd windows, and recovery after a run of nights is not optional. Generic advice like “plan your morning routine” does not apply when your morning is 3pm.
Step by step
- Enter the rota when it is published. One line per shift, or a repeat if the pattern is regular.
- Protect recovery time. After a run of nights, block the next day for sleep and rest before anything else gets planned.
- Find the real free windows. Look at the week after shifts and rest are in. Those gaps are when errands and appointments go.
- Batch life admin. Put calls, bills and bookings into one free window a week instead of spreading them across tired days.
- Set reminders that match your clock. Medication, meals and wind-down at times that fit the shift, not the standard day.
- Review when the next rota arrives. Check study deadlines, renewals and personal plans against the new pattern.

Start from the rota
Enter the rota as soon as it is published. Regular patterns can be repeats (“every 4 days”, “every mon, tue and wed”); irregular rotas are quicker as dated tasks typed in one line each. Then mark the recovery time after nights as protected — no errands, no appointments.
With the shifts and rest visible, the remaining windows are your real free time. Book appointments and errands into those, preferably on the day before a run of shifts rather than the day after nights.
Look after the person on the rota
- Keep a sleep routine for nights: blackout, a fixed wind-down, the same sleep window after each night shift.
- Plan meals for long shifts so you are not relying on the vending machine.
- Put your own health appointments, CPD deadlines and registration renewals on dates.
How Pladay fits shift work
- Type shifts quickly: “Early shift tomorrow at 7am”, “Night shift on Nov 14 at 7pm”.
- Reminders arrive as push notifications with Done and 10-minutes-later buttons; on Android, set battery use to unrestricted so they arrive on time (Android app).
- Medication and sleep can be tracked in their own modules; health records stay on your device unless you turn on sync.
- Pladay works offline, which helps in buildings with poor signal.

FAQ
Can Pladay handle a rota that changes every month?
Yes. Irregular rotas are fastest as one dated line per shift; regular patterns can be a single repeat such as “every 4 days”.
Will reminders wake me during sleep after a night shift?
Only tasks with a time send reminders. Leave daytime chores without a time on your rest days, or reschedule them to the evening.
