How to use the Eisenhower matrix: urgent vs important
Last updated:
The Eisenhower matrix asks two questions about every task — is it important, is it urgent — and turns the answers into four clear actions. It is most useful on days when everything feels equally pressing.

The four quadrants
- Urgent and important — do now. Real deadlines and real problems: the report due today, a sick child, a server that is down.
- Important, not urgent — schedule. The work that moves your life forward: planning, learning, exercise, relationships, preventing problems. This quadrant gets crowded out unless you put it on a date.
- Urgent, not important — delegate or shrink. Interruptions and other people's priorities. Hand them off, batch them, or do a smaller version.
- Neither — drop. Busywork and habits that only feel productive. Delete without guilt.
Step by step
- List everything open. Start from your full task list, not from memory. Include the small annoying things; they are often quadrant three or four.
- Mark importance first. Before looking at dates, mark what is important. Deciding importance with deadlines in view makes everything look important.
- Then mark urgency. Urgent means it has a real consequence if not done within a day or two.
- Act on each quadrant. Do quadrant one today, schedule quadrant two with a date, delegate or shrink quadrant three, delete quadrant four.
- Re-sort daily, briefly. Look at the matrix for a minute each morning. Tasks move as dates approach; the matrix keeps up only if your priorities and dates are honest.

How to decide what is “important”
Urgency is easy to see: a date is near. Importance is the hard part. A useful test: will this matter in a month? Does it serve a goal you have actually chosen, or a responsibility you have accepted? If you would not mind it never happening, it is not important, however loud it is.
Be careful with the urgent-but-not-important quadrant. It often hides other people's deadlines dressed up as yours. Asking “what happens if this waits until Thursday?” clears up many of them.
Protect quadrant two
The point of the matrix is not the sorting; it is noticing how little time quadrant two gets. Each week, choose one or two important-not-urgent tasks and give them a date and a time block. Otherwise they become urgent later, usually at the worst moment.
Setting it up in Pladay
- Pladay's matrix view sorts your open tasks automatically: important means medium or high priority, urgent means due within two days. Change a task's priority or date and it moves quadrant.
- Set priority as you type with `!!` (medium) or `!!!` (high); for example “Draft budget friday !!”.
- Give quadrant-two tasks a date and a block of time with time blocking.
- The focus plan ranks tasks by priority, due date and age and shows what fits into today's hours.
FAQ
What if everything is urgent and important?
Then some items are mislabelled or you are overloaded. Ask which tasks have consequences today, renegotiate the rest, and look at why so much becomes urgent — usually quadrant two was skipped earlier.
Can I change how Pladay decides urgency?
The matrix uses due within two days as urgent and medium or high priority as important. To move a task, change its due date or priority.
