How to pick your three most important tasks each day
Last updated:
A long to-do list is a menu, not a plan. Choosing three tasks that would make the day a success — before email, chat and meetings get a vote — is the smallest planning habit with the largest payoff.

Why three?
One is too fragile: if it gets blocked, the day has no plan. Ten is a wish list. Three is small enough to finish on a normal day and large enough to cover different kinds of work — for example one deep task, one task for someone else, and one personal task.
The three are not your only tasks. They are the ones that get the best hours and are protected when the day goes sideways.
Step by step
- Look at the whole list for one minute. Today, overdue and anything due in the next few days. Do not start doing anything yet.
- Ask what would make today a success. If you only finished three things, which three would you be glad about at 6pm?
- Size them to the time you have. Check your calendar. If meetings leave three free hours, the three tasks together should take about two.
- Mark them clearly. Give them today's date and the highest priority so they are visible every time you open the app.
- Do the first one first. Start the hardest or most important one before opening email. One finished priority by 11am changes the whole day.
- Carry over honestly. If one is not done, decide tomorrow morning whether it is still in the top three — do not let it slide automatically.

What makes a good top-three task
- It is an outcome, not an activity: “send the revised quote”, not “work on the quote”.
- It fits today: if it needs four hours and you have two free, take the first half as today's task.
- It matters this week: ideally it moves a goal forward or prevents a problem, not just clears noise.
- It is within your control: “get approval” depends on someone else; “send the request for approval” does not.
The evening version
Some people choose tomorrow's three at the end of the work day instead. The benefit: you stop thinking about work in the evening because the next step is written down, and the morning starts with action rather than deciding. Try both and keep the one you actually do.
Setting it up in Pladay
- Give your three tasks today's date and high priority (`!!!`) so they sit at the top of Today.
- The focus plan ranks open tasks by priority, due date and age and fills the hours you say you have — useful when choosing the three (AI planner).
- Unsure what matters most? Sort first with the Eisenhower matrix.
- Block the first task into your morning with time blocking.

FAQ
What if urgent work interrupts my top three?
Handle the real emergency, then return to the first unfinished priority. If emergencies happen every day, plan two priorities instead of three and keep a buffer.
Should personal tasks count?
Yes. Many people make one of the three personal on purpose, so the day does not end with work done and life neglected.
