An office worker's routine: plan the day in five minutes, the week in twenty
Last updated:
Office days are shaped by other people's requests. A routine will not stop the interruptions, but it makes sure the important work still has a place — and that Monday does not start in chaos.

A five-minute start
Before opening email, look at today's list and choose up to three things that would make the day a success. Everything else is optional. Then glance at the calendar: the gaps between meetings are your real working time, and they are usually smaller than they feel.
Protect one focus block
Reserve one block of 60 to 90 minutes a day for the most important task, ideally when your energy is highest. Close chat, start a timer and work on one thing. One protected block a day adds up to more deep work than a week of fragments.
Meetings end in tasks
Every meeting should end with action items: who, what, by when. Write them down during the meeting and turn yours into dated tasks immediately; an action item that stays in meeting notes is usually forgotten. Pladay's Meeting notes module keeps agenda, decisions and action items, and can send action items to your task list.
Let routine work repeat itself
Weekly reports, timesheets and monthly closings follow rules, so write them once as repeating tasks: “Weekly report every Friday 4pm”, “Timesheet last weekday of the month”. Keep your head for the work that does not repeat.
The Friday review
On Friday afternoon, review the week: what got done, what slipped and why, next week's three most important outcomes, and every deadline in the next seven days. Clear your inbox and messages. Monday morning then takes five minutes instead of an hour.

FAQ
Can I use Pladay for work and personal tasks together?
Yes. Use separate lists (for example Work and Home) and the views by list, tag or date to see one side at a time.
Is Pladay a team tool?
No. It is a personal planner. For assigning tasks to colleagues, a team project tool is the better fit; Pladay works well alongside one for your own work.
